1. Who We Are
Recallify is a managed cold email outbound service built for staffing and recruiting firms in the United States. We research prospects, write and send personalized outreach on our clients' behalf, handle replies, and book qualified meetings. Our registered business email is hello@getrecallify.com and our service is accessible at getrecallify.com. References to "Recallify," "we," "us," or "our" in this policy refer to the Recallify service and its operators.
2. Information We Collect
We collect the following categories of information to provide our service:
- Client business information: Business name, contact name, email address, phone number, and billing information for clients who engage Recallify.
- Campaign data: The targeting criteria, messaging, sequences, and performance data associated with the outbound campaigns we run on a client's behalf.
- Prospect contact data: To run a client's campaigns, we collect business contact information about the client's prospects — business email addresses, names, company names, and job titles. This data is sourced from public business databases and directories, not from the prospects directly, and is limited to business-context information rather than personal or sensitive data.
- Website usage data: Standard server logs, browser type, IP address, and analytics data collected via privacy-compliant analytics tools when you visit getrecallify.com.
3. How We Use Information
We use the information described above exclusively to:
- Research prospects and run personalized outbound email campaigns on behalf of our clients.
- Handle replies to those campaigns and book qualified meetings into a client's calendar.
- Administer client accounts, including billing and account-related communications.
- Troubleshoot technical issues and maintain service reliability.
- Comply with applicable legal obligations.
4. We Do Not Sell Data
We do not sell client data or prospect contact data to third parties, and we do not use it for purposes unrelated to delivering the outbound campaigns our clients engage us to run. Prospect contact data is used solely to send and manage the outreach campaigns described above.
5. Subprocessors
We use the following third-party service providers to operate Recallify. Each is subject to its own privacy policy:
- Smartlead — email sending and deliverability infrastructure, used to send and track outbound campaign emails on behalf of clients.
- Apollo — prospect and business contact data provider, supplies publicly available prospect contact information (business email, name, company, job title) used to build campaign target lists.
- n8n — workflow automation, used internally to orchestrate campaign, data, and reply-handling operations.
- Supabase Inc. — database and backend provider, used to store client, campaign, and prospect data described in Section 2.
- Anthropic PBC — powers AI-assisted prospect research and drafting of personalized outreach copy.
- Vercel Inc. — website hosting provider for getrecallify.com.
6. Compliance
Recallify's outbound email campaigns are conducted in accordance with the CAN-SPAM Act. Every commercial email we send on a client's behalf includes accurate sender identification, a non-deceptive subject line, and a working way to opt out of future messages, and we honor opt-out requests promptly. Recallify does not send SMS or text messages, and this policy does not involve telecommunications regulations such as the TCPA or protected health information under HIPAA.
7. Data Retention
We retain client and campaign data for as long as a client's engagement with Recallify is active, and for a reasonable period afterward for legal, accounting, and operational recordkeeping purposes. Prospect contact data used for a completed or cancelled campaign is deleted or anonymized once it is no longer needed for these purposes.
8. Your Rights
You have the right to:
- Request access to the data we hold about you or your business.
- Request correction of inaccurate data.
- Request export or deletion of your data, subject to legal requirements.
- Opt out of future outbound emails sent on behalf of a Recallify client, at any time.

9. Security
We implement industry-standard security measures including TLS encryption in transit, access controls, and regular security reviews. Report any suspected security incidents to hello@getrecallify.com immediately.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active clients of material changes by email at least 14 days in advance.
